Responsibilities

GENERAL PURPOSE:

With minimum direction and considerable latitude for independent judgement, performs routine and non­routine duties requiring highly advanced secretarial skills and proficiency for the Medical Faculty Group Business Office. Is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures and practices of the Medical Faculty Group. Will be responsible for the day-to-day clerical operations and managing all aspects of financial matters, ordering, calendars and other duties assigned by leadership.

RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

25% Provides administrative support to the Director and Business Office Managers as directed. Provides supervision and coordinating of support services within the Business Office. Furnish factual reports and information about the business of the department; compiles technical information on request and PowerPoint presentations for meetings, prepares correspondence; maintains confidential departmental budget, personnel and payroll records and required information. Ensures confidentiality is maintained at all times.

25% Performs administrative duties including coordination, processing and follow-up of the accurate completion of all URMC forms for Office Manager. Performs clerical duties as assigned, i.e.: calendaring, payroll and secretarial support. Ensures accurate processing of department invoices; track and log invoices charged to ledgers to assist with monthly reconciliation, order office supplies, arrange travel and other accommodations; prepare expense reports and maintain Department files (including personnel files) per University audit guidelines.

15% Supports Manager of Central Support with all Human Resources related work, i.e. processing all payrolls, uploading all exceptions and retaining documentation for compliance purposes, processing new hire paperwork, terminated employee process and FMLA tracking. Prepares and maintain compliance of all required HR reading.

15% Maintain statistical data for leadership team. Process all Contracted Revenue payments for the Medical Faculty Group as outlines by MFG Finance & Administration.

10% Maintains accuracy or URMFG SharePoint site with communications properly stores in applicable folders for access to enable targeted communications to departments and/or employees as needed.

10% Prepares agendas and committee meeting minutes with appropriate distribution. Plans and makes all administrative arrangements for committee meetings and special events, including meeting facilities and multimedia equipment, electronically communicates meeting notice and agenda to attendees.

Performs other duties as assigned.

REQUIREMENTS:

  • At least 3 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation.
  • Must have demonstrated abilities to communicate effectively, both verbally and in writing.

EDUCATION:

  • Must have two years of education past high school education in secretarial studies or equivalent.

Pay Range

Pay Range: $18.65 - $26.11 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
