Job Summary
The Operations Assistant is a key member of Wellness Operations, supporting personnel processes and facilities management functions. In addition to supporting personnel administration for Wellness, the Operations Assistant is responsible for the facility management of the August Center, which houses the Student Health Center, Counseling & Psychological Services, Case Management, RIT Ambulance and Student Wellness.
This position reports to the Associate Director of Wellness Operations.
Job Responsibilities
Professional Staff Operations:
- Coordinate with Student Affairs Financial Planning & Business Operations Team, Wellness Team and Human Resource partners, to facilitate processing of position control requests and change EAFs to ensure accurate employee data and reporting.
- Facilitate the processes that support the recruitment, hiring and onboarding of Wellness staff through related systems.
- Track FTE and headcount, process related transactions and ensure Wellness staff position data is accurately reflected in HRIS system.
- Develop and oversee a process for tracking and reporting on staff professional development; support Wellness departments in tracking licensure and certifications.
August Center Operations:- Manage building security systems and access control for the August Center.
- Manage facilities maintenance requests for August Center.
- Serve as August Center Phone Coordinator.
- Facilitate and oversee the capital equipment physical inventory process.
- Communicate relevant facility news and updates to staff in a timely manner.
- Support building-wide projects; liaison with campus partners to ensure appropriate facilities support.
Required Qualifications
Education:
- Associates degree or equivalent experience
Experience:- 2 years of experience in human resources, operations management, facility coordination, or a related field.
An equivalent combination of experience and education may be considered.
Specialized Skills:- Experience using technology and systems to support administrative, operation and
- program functions.
- Ability to take initiative and independently plan, organize, coordinate, and perform work in complex situations with competing priorities.
- Ability to maintain attention to detail and task completion in a fast-paced, student focused environment.
- Possess strong organization, conflict resolution and communication skills.
- Customer service oriented.
- Effective interpersonal, written, and electronic communications skills, including the ability to convey complex information in accessible terms to diverse or multicultural audiences.
- Ability to establish, build and maintain effective working relationships based on respect, empathy and honesty with diverse groups and individuals.
- Ability to manage and maintain confidential and private information; uses confidential, sensitive and/or private records and information, protects information appropriately.
- Computer competence using software and enterprise systems appropriate for the complexities of the role and its functions.
- Knowledge of Deaf culture, American Sign Language (ASL), or willingness to learn.
- Ability to understand and follow legal policies, compliance expectations, and university guidelines and procedures.
Preferred Qualifications
- Prior experience working within a higher education institution.
- Proven ability working in a complex organization, developing streamlined and innovative process improvements and making informed decisions in the context of strategic organizational goals and policies.
