The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

GENERAL PURPOSE:

Provides stewardship of $100,000+ gifts, typically at the divisional level. Assists major gift officers in acknowledging donors for life by way of visits, providing information, handling thank you letters, and other forms of recognition.Schedule 8 AM-4:30 PM; SOME WKNDS/HOLS Responsibilities GENERAL PURPOSE: The Associate Director of Gift Management will play a key role in supporting the University+s Advancement efforts by overseeing and managing various aspects of philanthropic gift management, with a focus on University of Rochester Medical Center gifts. This position will work closely with URMC fundraising officers to craft clear and concise agreements that outline the terms and conditions of a gift, including the donor's intent, the recipient's obligations, and any restrictions or requirements associated with the gift. The Associate Director is also responsible for ensuring that all gift agreements support the University+s mission and priorities, and adhere to policies, best practices, and legal guidelines. The Associate Director manages the gift approval process, including timely internal reviews and obtaining donor and leadership signatures. They work closely with Gift and Donor Records to establish new funds, process gift amendments and book pledges. They maintain accurate and up-to-date documentation and collaborate with their colleagues in the Donor Engagement Department on gift agreements that support student and faculty support, clinical care, research and capital projects. The Associate Director is responsible for directing the creation of new endowments and working closely with Gift Accounting and Endowment Accounting and the Director of Donor Impact Reporting to ensure endowments are established and structured correctly based on the financial configuration of the University. In addition to gift management responsibilities, the Associate Director will work with the Donor Engagement and Creative teams, as well as URMC gift officers to support the creation of fundraising materials, including major gift proposals, impact reports, acknowledgments and other donor communication materials. As part of the University+s campaign, they will take on a variety of special projects that support Donor Engagement and URMC fundraising units business goals. Though the focus of this role will be working with the URMC fundraising gift management and special projects, they may be required to work on any and all types of gift agreements or projects within the scope of Donor Engagement+s work, as needed. RESPONSIBILITIES: GIFT AGREEMENT MANAGEMENT - URMC Draft and manage gift agreements: Ensure agreements are clear, legally compliant, and aligned with donor intent and institutional interests. Maintain and update comprehensive gift management policies and procedures: This includes required approvers, updated templates for different types of agreements, gift process, use of technology and other related items. Provide training and support: Develop and deliver training programs on gift management topics, including legal compliance, donor stewardship, and agreement drafting. Offer one-to-one consultations to provide personalized guidance and support. Conduct benchmarking and best practices research: Identify and analyze best practices from peer institutions to inform gift management strategies and improve processes. Fund Management - URMC Process new gifts and pledges: Upon receipt of a signed gift agreement, establish new funds and book pledges and gifts accordingly. Manage gift adjustments: Collaborate with Gift and Donor Services to modify past gifts based on the wishes of both the donor and the University. Maintain gift records: Upload documentation to OnBase for permanent recordkeeping and organize and maintain endowment records. Ensure data integrity: Organize, coordinate, and maintain the integrity of hardcopy and digital filing systems. Verify that allocations are established and gifts are booked accurately in the Advancement system to ensure proper stewardship of donor gifts. Specialized Donor Engagement & Stewardship Gift Planning & Execution: Assist in developing gift plans, including researching potential donors, drafting proposals, and coordinating with development officers. Donor Recognition & Stewardship: Manage the production and distribution of donor acknowledgment letters, reports, and other stewardship materials. Impact Reporting: Prepare donor impact reports, highlighting the specific outcomes and benefits of their gifts. Donor Communications: Assist in developing and implementing donor communication strategies, including e-newsletters, social media. Campaign Special Projects Campaign Projects - Assist with planning, coordination, and execution of special donor engagement projects, particularly in coordination with comprehensive campaign priorities (e.g., policy and procedures, process improvement, seasonal stewardship videos, thank-you campaigns, etc.). Other duties as assigned QUALIFICATIONS: Bachelor+s Degree required. 5 years of experience, preferably in advancement or higher education, or equivalent combination of education and experience required. Excellent written communication skills required: Ability to write and edit clearly, accurately, and concisely. Proficiency with technology required: Highly proficient with Microsoft Office products (Word, Excel), Adobe products, and fundraising CRM systems. Comfortable and confident with technology and learning new software and systems. Collaborative and independent work ethic required: Ability to work independently as well as collaboratively with others. Data analysis skills required: Ability to collect, organize, and analyze data using basic statistical tools and techniques. This includes the ability to create and interpret charts, graphs, and tables. Strong organizational skills required: Exceptional attention to detail and strong organizational skills.
