Job Summary

The Associate Director of Registration and Billing directs all facets of the operations of RIT Certified’s registration and billing processes, including student registration and records, financial aid distribution, course catalogs, student billing accounts, and transcript fulfillment. The Associate Director also plans and develops strategies for maintaining and upgrading academic information infrastructure while maintaining the service capability of student systems and the integrity of student data with our partners in academic programs across campus. This position ensures responsive credentialing that communicates outcomes and makes transcripts and certificates easily understood and actionable.

The Associate Director is responsible for writing, implementing, and updating policies and procedures related to enrollment, registration, and billing. The Associate Director also models the highest level of customer service, serving as a primary point of contact for students, families, funders, external stakeholders, and internal partners.

Job Responsibilities

Admissions & Enrollment

  • Plans, directs, and administers the operations of the RIT Certified admissions and records office.
  • Responsible for planning and supervising all pre-registration and registration processes for classes.
  • Develops, tracks, and reports student progress data such as registration, declaration of mastery certificates, course and mastery certificate completion, retention, and scholarships.
  • Tracks payment and receivables from enrollments.
Policy Development
  • Develops and implements policies, rules, and operational procedures related to student admissions, registration, student academic records, transfers, graduation, and other functions of admissions and records.
  • Tracks policy changes and makes updates as needed.

Infrastructure & Data Management

  • Maintains and upgrades RIT Certified's academic information infrastructures including academic records archives, online student databases, and other electronic databases and information systems (Modern Campus LLLEE).
  • Develops and maintains accurate records of all courses and curriculum requirements.
  • Tracks and reports student academic and demographic data.
  • Issues various account analyses and reports for interim and year end audits.

Customer Service

  • Provides customer service and administrative support to families, students, internal staff, and external stakeholders, utilizing outstanding organizational skills, analytical competency, and problem-solving capabilities.
  • Uses independent judgment to manage and impart information to a range of constituents including students and families, faculty and staff, and external collaborators.
  • Represents RIT Certified to various institutional divisions as well as externally to governmental agencies, vendors, students and their families and/or the general public.

CEUs

  • Researches and pursues qualifications for RIT Certified courses to earn designation for continuing education credits across various industries.

Required Qualifications

Education/Experience:

  • Bachelor’s degree in education, business, or other related field or equivalent work experience.
  • 3-5 years of progressively responsible, professional-level experience in student services, education, administration, or business.

Skills:

  • Experience managing billing services such as invoicing, tracking payments, reconciliations, etc.
  • Proven ability to plan, organize, maintain, and manage complex processes and operations of an organization.
  • Outstanding track record developing, recommending, organizing, and administering policies and procedures.
  • Exceptional research, analytical, and writing skills.
  • Ability to engage in critical thinking and exercise independent judgment.
  • Advanced knowledge of Excel and other Microsoft office products.
  • Outstanding interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • A team player with a collaborative approach to work.
  • Ability to handle sensitive and confidential information while displaying integrity and accountability.
  • Steadfast attention to detail, organizational prowess, and flexibility.
  • Ability to work in a fast-paced environment with a strong willingness to learn.

Preferred Qualifications

  • Experience with student information systems
  • Experience using billing or payment systems in an academic setting.
  • Background in accounting.
