Job Summary
Reporting to the Director of the Center for Leadership and Civic Engagement (CLCE), this position provides day-to-day administrative support to the CLCE.
This position will:
- Provide support for all CLCE inquiries and information, making appropriate referrals and directing questions and communications to the appropriate functional areas.
- Manage the office facilities and administrative operations for CLCE central department suite, including monitoring and maintaining the supplies and equipment, maintenance of appropriate office physical environment, and department record and file management.
- Provide administrative support for the Director and Associate Directors (Sr. Leadership Team), assisting with daily logistical and operational planning for the department and the various programs, services, and events offered by each functional area.
- Provide daily operational support in addition to special program/event support for the Alternative Break, FoodShare and Community Impact Awards initiatives.
- Provide administrative support for the CLCE regarding functions relation to student employment, including position postings, recruiting and hiring, employee onboarding procedures, and systems access requests.
- Serve as the technology coordinator for the department to provide oversight of technology purchases, inventory, and basic training.
- Provide support for department level financial and contractual transactions including management of the procurement card(s), record retention and signature controls for external contracts, procurement, and travel support.
- Supervise a student team including 2-3 undergraduate students and provide support for a larger student team of 25 undergraduate and graduate assistants.
- Oversee the divisional service reporting system ensuring the accurate tracking of student philanthropic activities.
This position requires a student-centered individual with excellent verbal and written communication skills, strong interpersonal skills, and strong administrative, organizational, and problem-solving abilities. This position works closely with campus partners, community members, and student leaders to assist in creating a vibrant, engaging culture that cultivates student engagement.
Job Responsibilities
- Overall administrative support for the Director and Sr. Leadership Team for the CLCE. Coordinate and schedule appointments and maintain Director’s calendar; assist with and generate correspondence and departmental mailings; create and assist with presentation materials; assist with publication revisions; coordinate travel arrangements; maintain files. Track and maintain compliance related documentation for department including records retention timelines and protocols; review time sensitive/high-level deadlines and tracking for department and/or divisional reports.
- Coordinate and implement the logistics related to ongoing CLCE events (space reservations, catering, etc) as well as direct support for major initiatives including: Travel Arrangements and Documentation Support, including crowdfunding, for Alternative Break student trips Coordination of funding and payments for annual Community Impact Awards in collaboration with Office of Financial Aid and Scholarships Coordination of support for the day to day operations of the RIT Food Share in collaboration with CLCE Staff and Americorps VISTA staff.
- Provide personnel managament for student staff including hiring, training, supervising and evaluating a student team that provide in-depth resource and referral support, serve as courteous greeters for the office, and provide informed and accurate responses to phone inquiries. Managing Kronos timecard changes and approvals for student staff.
- Manage the main CLCE office spaces and operations, office space set up, reception staffing, central workspace assignments, appearance, and organization, storage spaces, and staff office turnovers/prep for new occupants. Serve as the technology coordinator for the department to provide oversight of technology purchases, inventory, and basic training.
- Designated custodian of departmental record-keeping by Director; work with the Office of Legal Affairs and Compliance Office to ensure proper handling of sensitive and confidential student, event, and personnel records for current and former center staff members and events. Follow and stay current with RIT document and record-keeping policy and expectations. Oversee the divisional service reporting system ensuring the accurate tracking of student philanthropic activities.
- Provide leadership and educational awareness to staff and students in developing/supporting an inclusive/diverse community based upon the recognition of student rights and academic goals to foster learning and growth.
- Participate in department, division, and university committees and seek professional development opportunities as appropriate.

Required Qualifications
Education/Experience:
- Three to five years of progressive experience with HS/GED in similar environment and managing mid-level and/or senior-level leadership administrative support.
OR- Two to three years with Associate’s Degree in Business/Office/Administrative management or related field in a dynamic and highly interactive work environment.
- Must have progressive responsibilities in a highly interactive office setting and demonstrated success in managing diverse customer and client service needs.
