As the Dispatch Coordinator you will work closely with all other team members within the Logistics Department , Transportation, Planning, Customer Service, and Production to ensure orders are on track to meet the required timeline and customers are updated accordingly with the delivery plan. You are the communication between the sales team and logistics department ensuring information flows freely and customer needs are anticipated and actioned pro-actively.

Key Responsibilities:

  • Manage the order/paperwork flow within the dispatch office and logistics boards
  • Assign orders to pickers and track paperwork and tag printing
  • Update within our ERP system the picking status and fufill orders that are shipped throughout the day
  • Assist with QA’ing orders throughout the day being pulled and prepped for loading
  • Communicate with the Logistics team on local delivery, quantity verification and other issues that may arise
  • Update the logistics boards to show current work and daily deliveries scheduled
  • Assist the logistics team with hands on help as required or when short staffed, forklift work may be required at times
  • Backup/Support cycle count process within the warehouse as needed
  • Support Transportation Coordinator with truck driver communication and trucking schedule
  • Create a safe workplace environment
  • Be accountable, collaborate with all departments and engage the workforce
  • Liaise directly with key internal stakeholders on order requirements
  • Handle inbound calls to the dispatch office
  • Engage with customers/drivers that come into the dispatch office for pickups and guide them accordingly
  • Investigate customer issues and provide resolution
  • Investigate product related issues in conjunction with the inventory and receiving associate.
  • Analyse data and identify improvement opportunities
  • Support the Logistics Manager and other leaders in the logistics and production team where required
  • Assist in 5S control of warehouse and office are maintained

  • Understand and maintain confidentiality relating to all business activities, especially relating to personal employee information, financial details and customer/supplier details.

  • Understand and maintain correct protocols and standard operating procedures (SOP’s) when interacting with other team members, customers and suppliers.

  • Email & phone calls must be responded to promptly
  • Manage time in an effective manner, such that all tasks are done in specific and agreed time frames each day.
  • As a logistics professional you are given access to confidential information. Any breach of trust will be regarded seriously & addressed in an appropriate manner by the management team.  Abide by the Studco confidentiality agreement as contained within the Studco Employee Handbook

Preferred knowledge:

  • 1-2 years of experience within the logistics/warehouse field
  • Forklift experience preferred
  • Proficient with the Microsoft Office suite of products with high level skills in Excel.
  • Experience in a manufacturing environment is desirable.
  • NetSuite experience would be highly considered.
  • Exposure to a high paced work environment
