Responsibilities

GENERAL PURPOSE:

Primary responsibility is provision of administrative support for Center for Community Practice, including its training facilities, training programs and staff. With general direction and latitude for initiative and judgement, performs routine and non-routine duties requiring advanced secretarial, data entry, and/or word processing skills and proficiency in an administrative office of an academic, educational service, business or comparable department.

RESPONSIBILITIES:

  • Training program support: provides administrative support and coordination for in-person training onsite and virtual training deliveries, including but not limited to registration support and follow up, communications with participants, filing, copying, and assembling training materials and assisting with training logistics such as space and technology set up, preparing sign-in sheet, compiling evaluation results, etc. according to training center policy and procedures.
  • Training Center reception: provides coverage for front desk administrative duties, including but not limited to answering door/intercom, answering phones and fielding requests and questions via emails, receiving/scheduling deliveries/pickups, greeting and assisting guests and training participants, scheduling meetings, etc.
  • Facilities and equipment maintenance: serve as primary contact for facilities maintenance and cleaning, IT/ISD and training equipment update, maintenance and inventory, maintaining adequate inventory of office supplies by performing routine inventory checks and ordering supplies in advance to avoid running out of things, and other related training center operation maintenance.
  • Performs secretarial, data entry and word processing duties for training center faculty and staff, including filing, organizations of files and supplies, scheduling meetings and educational sessions, typing and distributing meeting minutes, travel and other reimbursements, assisting staff with other administrative and clerical tasks for ongoing center operation.

Other duties as assigned.

QUALIFICATIONS:

  • High School Diploma required.
  • 2 years experience in related field; or equivalent combination of education and experience required.

Required/Preferred:

  • Word process and spreadsheet functions.
  • Zoom and Teams meeting functions.
  • Organizational skills.
  • Attention to detail.
  • Excellent interpersonal and communication skills both verbal and written.
  • Strong ability to quickly learn new systems, processes, and workflows.
  • Must be able to work both independently with self-direction and with a team.
  • Ability to handle multiple tasks and requests with varying deadlines is essential.

Pay Range

Pay Range: $18.65 - $26.11 Hourly

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
