Responsibilities:
GENERAL PURPOSE:
Greets clients and visitors at front desk. Answers incoming calls and typically operates a multi-line telephone system. Provides clerical support to area of assignment. Organizes meeting rooms. Completes security procedures, including issuing of badges and ensuring proper completion of visitors' log. May perform clerical tasks such as mail distribution, documentation organization, and word processing.Responsibilities
GENERAL PURPOSE:
With general direction and detailed knowledge of record retention policies as well as legal guidelines will oversee and maintain the University personnel records including I-9 forms. Works with HR and Office of Counsel to provide personnel records when requested. Tracks all files sent and returned. Files new hire records, archives terminated, returned and deceased records as appropriate. May work on employment verification requests.
RESPONSIBILITIES:
- Responsible for maintaining over 40,000 personnel records for active, terminated, retired and deceased employees. Maintains records for all types of employees except undergrad students, this includes: staff, faculty, post docs, residents, grad students and non-employees.
- Files all new hire records and I-9s as well as PAF's, performance reviews and notes to file of existing employees. Files terminated, returned and deceased records in separate files. Maintains records for terminated, deceased and retired employees according to legal requirements. Maintains an archiving system to manage records and space effectively. Utilizes HRMS to research records with missing name, emplid or other data to ensure accurate file maintenance.
- Responds to routine and non-routine requests for employment and salary verifications. Directs requests to the The Work Number where appropriate. Responds to legal offices, government agencies, US Marshals and other law enforcement agencies when requests cannot be handled through the automated system. Makes copies of records for subpoena requests and insurance claims. Coordinates requests with benefits office and payroll office when applicable. Provides records to HR offices, office of counsel, unemployment coordinator, payroll and PWC or internal audit as requests. Maintains a record of all files that are sent out of the file room.
- Purges records according to legal requirements and UR record retention policy.
- Directs the work of students and temporary staff to ensure timely and accurate filing of documents.
QUALIFICATIONS:
- 2 years of post-High School education or equivalent experience required.
- No experience required with a Baccalaureate degree.
- 2 years in Human Resources or related functions preferred.
