Responsibilities:
GENERAL PURPOSE
Reporting to the Director of Alumni Marketing Communications, the Marketing Manager for Alumni Communications assists with marketing communications campaigns to support the philanthropy and engagement objectives of University Advancement. With a goal of building lifelong relationships with the University’s 125,000+ living alumni and increasing engagement in key regions, the office runs several events and programs annually including Meliora Weekend. The Marketing Manager supports all of these efforts through a multi-channel marketing approach and focuses primarily on email marketing and digital platforms. This includes creating visually appealing and compelling messages, providing tactics to segment messages to a variety of alumni audiences, analyzing performance of marketing efforts and incorporating them into decision making, and assisting with the preparation of reports.
The Manager will focus on the day-to-day planning and execution of marketing communications, including designing all alumni relations newsletters and event invitation emails, other alumni relations email production as needed, data requests, and distribution, which traditionally has yielded more than 350 messages annually.ESSENTIAL FUNCTIONS
Email Marketing Development
- Under the direction of the Director, and in partnership with the marketing communications team, create and execute alumni communications that fall within the day-to-day production of: all e-newsletter and email-based, marketing communications strategies that focus on driving attendance and participation in alumni programs and events, stimulate interest in volunteerism and activity with regional networks; enhance communications with current students; and promote the benefits and services and available to alumni. Ensure the highest quality possible.
- Utilize Advancement-based email platform Salesforce, to build and distribute all e-mails.
- Serve as primary/point-person managing e-newsletter and email production and distribution.
Email Marketing Program Management
- Develop thoughtful production schedules that outline e-mail sends as well as other general marketing tactics for inclusion. Distribute in a timely manner to event managers and fellow communications staff for approvals.
- Test all digital messages queued to send using Litmus to review all visual aspects from all email clients’ perspectives, making any necessary technical adjustments impacting design and content
- Manage tactics related to data pulls; coordinate with administrative staff to receive appropriate and timely data for e-mail sends.
- Research, implement, and suggest improvements to e-mail design and execution utilizing best-practices and the latest trends in e-mail marketing.
Project Management
- Serve as chief liaison with Director and assist with general project management of design projects.
- Create, manage, distribute, edit and update (in real-time) all production schedules using Trello (or other current project management software) in conjunction with distributing all marketing request forms, posing clarifying questions for the team’s accurate understanding of event managers’ needs.
- Manage Basecamp for Alumni Relations communications campaigns, thoughtfully selecting all send dates for all digital outreach messaging, advising data reconciliation where necessary
- Take on additional projects when necessary on marketing project overflow, including the management of collateral and its distribution.
- Uphold the use of Alumni Relations communications project protocol, including: use of the communications request form, approvals routing, and internal distribution.
E-Newsletter Development
- Build, test, circulate and distribute the flagship, bi-monthly alumni e-newsletter, Rochester Buzz; Build, test, and circulate other e-newsletters, including Regional Network e-newsletters (10+ segments), school-based e-newsletters, and others.
Event Support
- Assist with templated communications needs, including but not limited to event invitations, signage, and programs.
- Liaison with marketing professionals across Advancement and the University to build partnerships and identify areas of collaboration for alumni engagement messaging.
- Serve as a key marketing support person for the University’s Meliora Weekend and other significant flagship events; be the primary contact and executer of all e-mail messaging; Other Meliora Weekend duties as assigned (duties become a priority from July-October).

QUALIFICATIONS
Required:
- Bachelor’s Degree
- 2+ years of marketing, project management, communications, alumni relations, development, or comparable experience, preferable in a higher-education setting.
Preferred:
- Proficient in Adobe InDesign, Photoshop, Canva or a willingness to learn
- Familiar with social media tools and implementation, as well as knowledge of strategies for Facebook, LinkedIn and Instagram.
- Prior experience working with vendors, including graphic designers, printers, and mailing services.
- Outstanding communication skills, including direct interpersonal skills.
- Excellent organization, project management, and proofreading skills, with an ability to manage and prioritize multiple projects with keen attention to detail.
- Comprehension of email marketing software platforms, preferably, Salesforce, Brandwatch, Litmus, and other similar systems.
- Knowledge of basic database programming technology and management.
- Ability to approach assignments in a proactive manner and look for ways to improve internal processes.
- A personal belief in mission, goals and objectives of private higher education.
- Ability to work as a member of a team to accomplish objectives.
- Occasional travel; some evening and weekend work.
