Compensation Range:

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

GENERAL PURPOSE:

Types correspondence, reports, and other materials. Conducts information retrieval and data entry. Compiles, organizes, and maintains records of business transactions. Maintains moderately complex indexes and files. Opens, sorts and routes incoming mail, answers correspondence and prepare outgoing mail. Maintains and update filing, inventory, mailing and database systems. Operates office machines such as photocopiers and scanners, voice mail systems and personal computers. Completes and mails bills, contracts, policies, invoices and checks. Compile, copy, sort, and file records of office activities. Answers phones, direct calls and take messages. Often provides work direction to lower level support employees.Schedule 8 AM-4:30 PM Responsibilities GENERAL PURPOSE: With minimum direction and considerable latitude for independent judgment, performs routine and non-routine duties requiring highly advanced secretarial skills and proficiency for the head of an academic, medical service, business, or comparable department. Is responsible for considerable departmental administrative details and duties requiring extensive experience with policies, procedures, and practices of the University, or within a specific division, or in other demonstrated and related equivalent situations. In department business matters has frequent contacts with Directors, faculty members, research staff and other administrative staff. Is responsible for assignment and the review of the day-to-day clerical operations. RESPONSIBILITIES: Administrative Support: - Provides administrative assistance to the CTU Director and CTU Manager. Scheduling: - Performs secretarial duties including the sorting and routing of mail, the taking serving as area receptionist, maintaining files and office supplies, arranging travel and other accommodations. - Assists study coordinators with scheduling patient study appointments in various departments within the study window and communication with patients as needed. - Responsible for updating and maintaining CTU Director calendar. Research Data Management: - This position will maintain documentation and databases, as well as enter, organize, and verify study data. - They will conduct validity checks of data and obtain clarification as needed. - Specific tasks include data collection, data entry, and data maintenance. - Drafts source documents for all research protocols. - Assist with creating and organizing study files for new studies as assigned by study coordinator. Research Data Assistance and Filing: - Assist research coordinators in the recording and uploading of electronic data. - Assist research coordinators with deidentifying research data and files. - Assist research coordinators with organizing research documents online, and research binders and files for storage/discarding when needed. Other duties as assigned QUALIFICATIONS: - High school diploma required. - At least 2 years of secretarial and office experience, including 1 year in a position which demonstrated the ability to work with minimum supervision and to direct an office operation required. - OR a combination of formal training and experience equivalent to the above required. - Advanced secretarial skills. The ability to take dictation at 100 words per minute. The ability to operate commonly used office machines, such as voice recording equipment, adding, and calculating machines, office copiers preferred.
