Responsibilities:
GENERAL PURPOSE:
The liaison is a reliable, single point of contact for referring providers and newly recruited physicians/APPs. The liaison assists in increasing patient referrals to URM and affiliates by developing and maintaining mutually beneficial relationships w community practices. The liaison conducts market assessments and outreach; identifies the needs of referring providers recommending changes to existing services and workflows to better meet providers’ needs. The liaison problem solves by communicating and working with clinical and administrative staff to provide follow-up, and resolution as appropriate. Under the supervision of the Director of Network Development, the liaison takes the lead in supporting the transition and retention of recruited physicians/APPs.ESSENTIAL FUNCTIONS
Marketing and Relationship Development (60%)
- Responsible for regularly scheduled outreach to practices to the Western Region (counties: Genesee, Wyoming, Orleans). Conducts outreach, as needed, to Niagara & Erie counties. This regional assignment could change depending on operational needs.
- Develop and implement specific outreach, relationship building and educational plans to referring providers. Conduct outreach on a scheduled basis, as determined by outreach plans and pre-set call quotas. Work closely with and take direction from The Director of Network Development to identify targeted providers and ensure plans are consistent with business development and marketing strategies. Collaborate with URM Leadership to ensure efforts are aligned with the regional strategy:
- Strategize: Develop outreach plans and practice/regional information to faculty prior to visit, based on strategic plans.
- Educate: disseminate promotional/educational materials to community-based referrers on the URM health system to facilitate patient referrals. Facilitate referring provider education of new programs, clinical trials, consultations and provide support as necessary.
- Communicate: visit physician offices to introduce new faculty, communicate changes in services/programs and distribute information. Focus on physicians/mid-levels which represent a high number of referrals to the URM system. Utilize the most efficient, appropriate and effective communication tools, with a customized approach to the provider.
- Promote: Provide appropriate value-add talking points for a wide variety of marketing/communication materials to referring providers and staff.
- Coordinate: Identify and coordinate educational events. Assist in arranging meetings or dinners for referring providers and identified faculty members.
- Service Recovery: Respond to referral/service problems identified through provider/staff interactions immediately (same day); engage the Director of Network Development, as needed.
- Investigate: Identify new service needs for accessing system services.
- Additional duties as assigned.
Physician/APP Retention (20%)
- Orient new faculty physicians/mid-levels to the liaison program, community and URM system/affiliate. Provide additional support to family members as requested/needed.
- Develop introduction plan with new faculty and conduct meet & greet visits with key providers and other local leaders/key stakeholders.
- Assist with transition (address problems) and retention of newly recruited providers. Communicate issues to AVP Regional Network Development & Director of Network Development.
- Ensure connectivity with assigned URM Dept/Division.
- Maintain updates of retention efforts on the Retention spreadsheet –monthly, as directed.
Data Capture & Reporting (20%)
- Report weekly on outreach activities, problems, solutions and market intel. Due weekly, as directed.
- Maintain current profiles on each key provider, including pertinent information about the individual physician/midlevel, the practice group, key office staff and contacts, committee and section activities and that physician’s particular interests.
- Research provider activity, satisfaction and health care trend statistics to assist in the development of outreach strategies and to provide feedback to stakeholders on the needs and perceptions of community and regional providers.
- Stay updated of trends in URM/affiliate inpatient and outpatient volumes by service line and any issues important to administration and the professional staff.
- Review weekly outreach reports with Director of Network Development to facilitate discussion at administrative staff meetings and to participate in implementation of resulting action plans.
General Expectations
- Outreach is conducted in accordance with dept/affiliation strategic objectives. Talking points accurately reflect the desired strategic messaging.
- Outreach is be pre-planned and executed. 20+ visits/week is acceptable. During the first 6 months, all outreach is conducted in-person.
- Organize / prioritize outreach and meeting attendance so both duties are fulfilled.
- Retention deliverables are performed timely and in accordance to the Retention Planning Spreadsheet.
- Attend department/affiliate meetings regularly to stay aligned of the strategic objectives.
- Professionalism: dress appropriately, on time for meetings, stay for duration of meetings. Demonstrate a professional demeanor in all work-related interactions.
- Attendance: minimal urgent departures from work. Attend and participate in all specialist lunch/learns as assigned. Attend all meetings as directed.
- Work with other physician liaisons in a team environment. Stay connected, assist one another as needed, proactively engage to support as necessary.
- Submit reports on time, as directed, and demonstrate professional/business writing skills.
- Outreach interactions and expenses/mileage submissions will be audited regularly.
Confidentiality
- Maintain strict confidentiality of all strategic and other information regarding providers, patients and the hospitals.
- Maintains customer confidence and protects the confidentiality of information and that being disseminated.
Supervision
- Duties are performed under the direction of the Director of Network Development.
- The employee plans and arranges own work, which is directed toward an established objective. Employee determines action to be taken handling all but unusual cases.
- Knowledge of established policies, procedures, and practice is required.
MINIMUM QUALIFICATIONS
- Requires a Bachelor's degree in Marketing or other allied health professions or their equivalent.
- One to three years progressive experience in physician’s services, patient care, marketing, public relations, communications, practice management, medical sales or other related health care field.
- Self-starter, requiring minimal supervision.
- Must possess excellent communication skills and conduct self in a highly professional manner.
- NYS driver’s license required.
