Compensation Range:

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.

Responsibilities:

GENERAL PURPOSE:

Serves as administrative assistant to a singular leader whose role is within the leadership career stream. Provides general administrative support. Maintains and files reports and other information. Schedules and coordinates logistical support for conference calls and meetings. Makes travel arrangements. Provides word processing and other document preparation services. Locates and retrieves information in support of management and technical staff.

Responsibilities

About the Role:
Join our team as an Administrative Assistant serving as an Outpatient Access Specialist (OAS) Coordinator. You will play a pivotal role in providing administrative support to the Ambulatory OAS Float Pool, reporting directly to the Ambulatory OAS Administrator.

Key Responsibilities:

Leadership & Supervision:

  • Manage and supervise the OAS Float Pool staff, providing direction, training, conducting performance reviews, and making recommendations for hiring, termination, and promotions.

Independent Initiative:

  • Execute advanced and complex assignments independently, exercising judgment and discretion while handling highly confidential information with limited supervision.

Staff Management:

  • Prioritize assignments, oversee proper training, conduct regular touch-base sessions, and determine staffing allocations based on department requests.

Recruitment Support:

  • Assist the OAS Admin with recruitment efforts and maintain an efficient OAS tracking system, ensuring a smooth hiring process for 30-50 applicants weekly.

Multitasking & Communication:

  • Manage multiple projects, communicate effectively, and initiate various tasks such as staff check-ins, quality control, site assessments, payroll processing, and staff education.

Process Enhancement & Communication:

  • Update OAS documents and workflows, maintain consistent communication with float staff and relevant departments, and conduct monthly staff meetings for ongoing improvement.

  • Proven ability to lead and manage a team, make effective decisions, and mentor staff.

Organizational Agility:

  • Excellent multitasking abilities to oversee various projects concurrently while maintaining attention to detail.

Communication Proficiency:

  • Strong verbal and written communication skills for effective interaction with staff and departments.

Independence & Judgement:

  • Capacity to work independently, exercise sound judgment, and manage confidential information with discretion.

Administrative Competence:

  • Proficient in administrative tasks, including recruitment support, documentation, and workflow maintenance.

Flexibility & Adaptability:

  • Ability to adapt to changing priorities and manage competing demands efficiently.

Qualifications:

  • College graduation or an equivalent combination of experience and training.
  • 1 year of relevant administrative experience.
