Job Description

Provide support to the Global Travel Services Department, including assisting Meeting & Incentive Coordinators and Planners with the coordination of meetings, incentives and events and coordination of select internal meeting requests for space at any CBI office location.

Responsibilities

  • Assist Coordinators and Planners with event management through Cvent software tool, including but not limited to:
  • registration site creation
  • participant registration
  • database management
  • report distribution
  • communication distribution
  • budget recaps
  • Assist Coordinators and Planners in securing hotel rooms/providing credit card authorizations
  • Work with Group Air Agent on submitting Concur ID forms
  • Help verify Constellation Brands are served at venues under consideration
  • Review and process invoices
  • May assist in reconciling Coordinators’ and Planners’ American Express bills
  • Regularly communicate with outside vendors, including hotels and offsite caterers
  • Maintain day-to-day supplier relationships in support of all events, including outside vendors
  • Assist Manager with planning and developing new methods to implement solutions into programs
  • Assist with updates to comprehensive production schedule for on-site run of show
  • Act as on-site support to events in the local area with assigned Planner. Activities include, but not limited to:on-site registration, transportation liaison, hotel and venue liaison
  • Food & Beverage: Review menus and make suggestions to Coordinators and Planners for menu options within budget, review BEOs for accuracy
  • Destination (domestic and international) research
  • Manage office supply quantities for on-site supply kits
  • Coordinate select internal meeting requests at any CBI office – scheduling, room set up, AV needs, catering, providing names to reception desk and security, billing processes if required
  • Conform to Travel policies and Meeting & Events standard operating procedures
  • Pursue personal development of skills and industry knowledge necessary for the effective performance of the role
  • All other duties as assigned

Recommended Qualifications

  • Pursuing a college degree in the hospitality field preferred
  • Cvent meeting management software tool experience a plus
  • Comprehensive verbal and written communication skills
  • Ability to interact successfully with all levels of management
  • Experience with management of multiple projects/programs independently
  • Knowledge of Windows & Microsoft Office

ADA Physical/Mental/Workplace Requirements

  • Occasional lifting up to 25 lbs.
  • Sitting, working at desk/personal computer for extended periods of time
  • Primary work environment is professional corporate office

The salary range for this role is:

$19.00- $29.50 an hour

This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. An employee’s pay position within the salary range will be based on several factors including, but limited to, the prevailing minimum wage for the location, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.
