Overview
**Position may be based out of Pittsford, NY or Batavia, NY**
Responsible for providing high-level administrative support for members of the Executive Team Serves as an assistant to the Chairperson of the Company on corporate matters. This position is part of an Administrative Team where members provide back up and coverage during vacations and other periods of time.
Responsibilities
- Perform various administrative duties to assist the Executive Team, including, but not limited to, the following:
- Managing an extremely active calendar of appointments avoiding scheduling conflicts; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.
- Assemble data as necessary to answer correspondence; composes, and sign some standard letters of reply in the Executive Team’s absence, within scope of authority.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination. Preparing expense reports.
- Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
- Maintain records and files, often of a confidential nature, relating to the Company and/or outside organizations.
- Contact individuals in the subsidiaries or at other companies to give or obtain information, including, but not limited to, Company related organizations (i.e., FHLBNY, NYBA, IBANYS).
- Perform specialized and/or confidential administrative duties, of which the following are illustrative:
- Maintain personal records and accounts for the Tompkins Financial Corp. CEO in relation to their activities in directorships, civic organizations, and clubs; prepare personal correspondence.
- Act as a liaison between the Executive Team and staff, senior management, and other employees, as well as the Board of Directors and affiliates.
- Research data, compile and prepare documents, operational or departmental reports, financial accounting, and budgets.
- Organize and prepare for a variety of Leadership Team, Corporate and Affiliate level meetings, including gathering documents, attending to logistics, as well as taking minutes, and uploading the files to the server for meetings.
- Administer and promote the DRIP Plan to external (non-employee) shareholders. Serve as a back-up to handle all external shareholder relations requests as they come in, either by mail or in person. Coordinates all external shareholder requests, i.e. purchasing of additional TMP stock, selling of TMP stock, Transfer of Ownership, etc., with AST.
- Coordinates all board and board committee meeting dates for Tompkins Financial and all affiliate boards and committees, on an annual basis.
- All other duties as assigned.
Qualifications
- An Associate’s Degree in a related field.
- A minimum of 7 years related experience.
- Working knowledge of frequently used computer software and programs such as Microsoft Office.
- Ability to work independently and with professional discretion.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent communication skills.
- Demonstrated project management skills.

Pay Range
